First Service
Usher 8:50 AM – 10:30 AM
- Bring these instructions with you. If you forget, a copy is in a black, 3-ring binder on the bookshelf just outside of Channing Hall.
- Arrive by 8:50 AM to set up.
- Put on your nametag.
- Get chalice ready for lighting. Put a votive candle in a glass holder and a taper candle behind the chalice. Light the votive 10 minutes before the service starts. Return matches to cabinet under chalice.
- Get a glass of water from the kitchen and put it on the shelf under the pulpit for the speaker.
- Put a hymnal from the rolling cart on every other seat.
Reserve seats (first four in front row of back section) for ushers and greeters by putting the four collection baskets on them. - Collate the Order of Service pages which are usually on the pulpit or on the bookcase in the lounge. If the choir is singing, leave 20 copies on the piano.
- Remind the greeters to sit in front row of back section and help take the offering.
- At 9:00 AM, begin handing out the Order of Service at door to Channing.
- We have a hearing aid device for those who need it. It is in the first drawer of the sound system cabinet. It is a small remote box with an amplifier to wear on an ear. Turn it on.
- Close doors when service begins and let late people in only at the times marked on the Order of Service.
- Go in and sit down after last late seating.
- During the service do your best to count the number of people (children and adults) present. This is best done from the very back of the hall so that you can move back and forth without being a distraction. Fill out the form below and give to the Senior Usher if there is one.
- During the offertory, pass baskets with the greeters. The two ushers pass on one half of the hall and the greeters pass on the other. Give the baskets to the Senior Usher if there is one.
- After the service, collect any remaining Order of Service papers to use for second service.
- If there is no senior usher you will need to record the attendance and count the money. You can wait until the service is over. You should have been sent the senior usher instructions. If not, find someone who has been around for a while to help you.

Second Service
Usher 10:50 AM – 12:30 PM
- Bring these instructions with you. If you forget, a copy is in a black, 3-ring binder on the bookshelf just outside of Channing Hall.
- Arrive by 10:50 AM to set up.
- Put on your nametag.
- Get chalice ready for lighting. Put a votive candle in a glass holder and a taper candle behind the chalice. Light the votive 10 minutes before the service starts. Return matches to cabinet under chalice.
- Make sure there’s a full glass of water on the shelf under the pulpit for the speaker.
- Straighten up seats, pick up stray programs for re-use and re-distribute hymnals evenly.
- Reserve seats (first four in front row of back section) for ushers and greeters by putting the four collection baskets on them.
- Make sure there are enough Order of Service pages; collate more if needed.
- Remind greeters to sit in front row of back section and help take the offering.
- At 11:00 AM, begin handing out the Order of Service at door to Channing.

Summer Services (10:00 a.m.)
Usher 9:35 AM – 11:15 AM
- Bring these instructions with you. If you forget, a copy is in a black, 3-ring binder on the bookshelf just outside of Channing Hall.
- Arrive by 9:35 AM to set up.
- Put on your nametag.
- Get chalice ready for lighting. Put a votive candle in a glass holder and a taper candle behind the chalice for transferring the flame from the votive to the chalice.
- Get a glass of water from the kitchen and put It on the shelf under the pulpit for the speaker. If the service has more than one speaker, get several glasses of water.
- If numbered hymns or readings are in the order of service, place hymnals from the rolling cart on every other seat. Save your back! Roll the cart down the aisle. Only put out the new hymnal, "Singing the Living Tradition"!
- Reserve your seats (first four in front row of back section) for ushers and greeters by putting the four collection baskets on them.
- Collate the Order of Service pages which are usually on the pulpit or on the bookcase in the lounge. If the choir is singing, leave 20 copies on the piano.
- Remind the greeters to help you take the offering and to sit with the ushers. If a greeter is not able to help, find someone else to help take the offering.
- At 9:45 AM, light the votive candle. Return matches to cabinet under chalice.
- Begin handing out the Order of Service at door to Channing.
- We have hearing aid devices for those who need it. Units are in the first drawer of the sound system cabinet. Each is a small 'walkman-sized' box with 'ear buds'. Roll the knob on the top to turn it on. Teach them to adjust the volume. Make sure this meets the attendee's needs.
- Close doors when service begins. Admit people only at times marked in the Order of Service.
- Enter and sit down in your reserved seats after last late seating.
- During the service do your best to count the number of people (children and adults) present. This is best done from the very back of the hall so that you can move back and forth without being a distraction. Fill out the form below and give to the Senior Usher if there is one.
- Ushers and Greeters perform the offertory, two in the center and one on either side. Starting at the front, pass baskets across rows with several attendees. If only one, don't ask them to stretch across. Also, don't ask the soloist! Give the filled baskets to the Senior Usher.
- If there is no senior usher you will need to record the attendance and count the money. You can wait until the service is over. You should have been sent the senior usher instructions. If not, find someone who has been around for a while to help you.
- Collect the Hymnals if they are out, and neaten up the hall. You may wish to replace your seats with the rolling cart, encouraging others to return hymnals.

Senior Usher Responsibilities
- For either the 9:15 or the 11:15 am service, serve as the Senior Usher for one month.
- Serve as an usher every Sunday for that month for whichever service time you selected (unless others have volunteered to do so.)
- At the end of the service, record attendance and put the offering in a secure location and complete records as needed. Note that TWO PERSONS must count the money and sign off on the total amount. Please ask one of the ushers or someone who is available to assist you with recording the total amount.
- Take the offertory baskets and the attendance numbers to the downstairs office. Sitting at the Administrative Assistant’s desk, on the left side, in the right-hand, bottom drawer, there is a pocket-folder with instructions. Take it out.
Count and record cash and checks received. On the left side of the folder, you will find instructions, forms and envelopes for counting and recording the offertory. Fill out the "Collection Report" by noting the date, if this is from the first or second service and the number of envelopes you are using to store the donations. Note the number of EACH type of bill and the amount and the amount of the coins. Add all cash. Note the number of checks (amounts are not needed.) TWO SIGNATURES are required by our auditor. Both persons sign it. - Secure the monies. Put the cash, checks, and form in one of the "letter size" envelopes. (Use two or more if necessary.) Go to the safe which is stored in Rev. Paul Johnson’s office in the closet immediately behind the office entrance to his office. Put the envelope(s) in the slot and revolve the handle so that the envelopes drop into the safe.
- On the right side of the folder, you will find a blue Record Book. Record the following using the form that is attached to the usher instructions:
• Date
• the time of the service
• name of the speaker and
• any unusual circumstances for that morning (weather, an event)
Record the attendance for the service. Note the number of UUCP staff and choir members; the number of other adults, youth and children. Youth and children are counted at intergenerational services (no RE is held that morning) or if they have elected to attend the worship service instead of attending RE. On the first Sunday of the month, young children attend the beginning of the worship service with their teachers. Then the count is taken AFTER the children and teachers leave the service because the RE attendance figures include children, youth, teachers and other adult helpers. - Return the baskets to Channing Hall. At end of first service, place the baskets on four chairs at the entrance of the Hall. At the end of the second service, place the baskets on the rolling bookshelf housing the hymnals.
- Take the offertory baskets and the attendance numbers to the downstairs office. Sitting at the Administrative Assistant’s desk, on the left side, in the right-hand, bottom drawer, there is a pocket-folder with instructions. Take it out.
- Fill in/assist if other persons do not show up. There are sets of instructions for Greeters, Ushers and Coffee/Juice in the black 3-ring binder on the bookshelf outside of Channing Hall. The Senior Usher instructions are NOT included in the binder, however.
- Trouble shoot if greeters, ushers or coffee helpers require such. Hearing assistance devices are in the first drawer in the sound system cabinet. Ushers have been asked to give them out as needed. The remote box has a volume switch that should be turned on when in use and off for storage.
- Call or email the VP of Congregational Affairs if you were concerned about something that morning or if you have suggestions on how to improve how we use volunteers for the morning services. Unique Tasks for the 9:15 am Service:
- Arrive at 8:30 to unlock coffee cupboard in storage room.

Place the lock on one of the shelves in the cupboard. - Move the Order of Service and other handouts from the podium/pulpit in Channing Hall to the bookshelf just outside of Channing Hall.
- Sound, heat/air conditioning and lights should have been turned on by a sound system volunteer and UUCP ministers and staff.
Unique Tasks Following the 11:15 am Service:
- Turn off the sound system. In the sound system cabinet, there is a lever for Power on the right hand side. Switch it to the off position.
- Turn Heat/AC to the night position. The thermostat is located by the rear door between Channing Hall and the lounge with a wire box over it. Open the wire box and switch the lever to night position.
- Turn off lights in Channing Hall. The dials and switches are located to the left of the rear door between Channing Hall and the lounge.
- Double check to make sure
- chalice light is no longer burning;
- persons responsible for areas in Channing Hall, lounge and kitchen have cleaned up in case there is an afternoon or evening program; and
- combination lock has been put back on coffee cupboard in storage room.

Instructions:
It is UUCP policy that two people count our collections in private. You may use either the Parish Minister’s or Minister of Religious Education’s office or other private place.
It is important to print your name before signing this report because many signatures are not legible.
If all the currency will not fit in a single envelope, complete as many reports and envelopes as required for the deposit. Seal the envelope.
