Sunday Morning Coffee Directions
First Service

- Bring these instructions with you on Sunday! If you forget them, there are copies in the three ring binder on the lounge bookshelf, in the storage room cabinet and in the kitchen cabinet.
- Buy and bring 4 quarts of milk (2 quarts whole and 2 quart skim) and put in refrigerator. If you want to be reimbursed, write your name on the receipt and leave it in the envelope in the cabinet.
- Arrive at 8:45 AM and you will be able to attend the service once everything is set up.
NOTE WELL: It takes a full hour to percolate coffee! It takes this long even if you don't plan to attend the service. Start the coffee first thing. - Some supplies are in the kitchen cabinets above and below the microwave.
- Cups and back stock of supplies are in the storage room between the lounge and Founders room. The cabinets are against the Founders room wall.
- For visual learners, a diagram showing where the urns should be plugged in is taped to the inside of the cabinet where the urns are stored and to the inside of the cabinet in the storage room.
Person #1: Make Coffee and Hot Water
Plug in designated outlets to AVOID BLOWING A FUSE.
- HOT WATER: Fill black urn with 80 cups of water, no coffee. Plug into outlet by the microwave and turn so it’s facing the lounge through the window. Put a tray on the floor under the spout with a paper towel on it to catch drips. Urns in kitchen cabinet, under ovens.
- DECAF: Fill green urn with 60 cups of water and ½ measuring can of decaf coffee. Plug in at the end of the kitchen island closest to the stove. When it’s done percolating, move it into the window facing the lounge. Put a tray on the floor under the spout with a paper towel on it to catch drips. Rolling carts are under counter near door to lounge.
- REGULAR: Fill two more urns (yellow, red or blue) with 60 cups of water each and 1 measuring can of regular coffee in each. Put one urn on a cart, wheel it into the lounge and plug it into the outlet on your immediate right. Put a tray on the floor under the spout with a paper towel on it to catch drips.
- The other urn should be plugged in at the end of the kitchen island closest to the dishwasher to percolate. This urn will replace the one in the lounge when it runs out.
- Put hang tags on pots indicating "hot water," "regular," or "decaf."
Person #2: Set Up Tables
Regular Coffee Table:
- In lounge, place table to the left of the kitchen door, about 3 feet from wall so you can stand behind it to serve
- Plastic tablecloth
- "Decaf and Hot Water Over Yonder" sign
- Three black insulated decanters
- 100 hot cups
- check storage room cabinet
Juice Cart:
- Wheel juice cart into lounge, and put up against the wall to the right of the pass through window., Rolling carts are in kitchen under counter to left of door to lounge.
- 50 cold cups
- See if there is any leftover juice in either refrigerator. If not, mix two pitchers of powdered juice/lemonade and put in fridge to cool. Check storage room.
Mike and Sugar Table:
- In lounge, place table in the middle of the room between the fireplace and the kitchen pass through window
- Tablecloth
- Milk and Sugar" sign
- Help Yourself" sign
- Stirrers, sugar packets, sugar substitute, napkins
- A small paper plate for trash
- 2 pitchers for milk; if using skim milk, label it with tape
Pass Through Window for Hot Water and Decaf:
- About 50 hot cups
- Help Yourself" sign
- Black tea bags
- Herbal tea bags
- Hot chocolate mix
- Stirrers
- A paper plate for trash
Person #1 & 2: Final Set Up and Serving
- Come out about 5 minutes before the service ends.
- Put the cooled juice on the juice cart.
- Fill the milk pitchers.
- Fill the 3 black coffee decanters with coffee, pour 15 cups to have ready for the first wave.
- Keep refilling coffee decanters
- Keep refilling milk pitchers
- Remove trash on paper plates
- Serve until 10:45 (when second team takes over)
Second Service

- Bring these instructions with you on Sunday! If you forget them, there are copies in the three ring binder on the lounge bookshelf, in the storage room cabinet and in the kitchen cabinet.
- Arrive at 10:45 AM and take over from first service coffee people.
- If you notice that we are running out of anything, please record it on the sheet taped to the inside of the cabinet in the storage room.
- NEW: Most supplies are in the kitchen cabinets above and below the microwave.
- Cups and back stock of supplies are in the storage room between the lounge and Founders room. The cabinets are against the Founders room wall; the top one has a green padlock on it. The combination is: right three times past 10, left past 10 to 36, right to 4.
Serve until service starts
- Pour coffee for anyone who wants it
- Tidy up the four service areas if needed
- Get more hot or cold cups or other supplies if needed (storage room cabinet)
Final Set Up and Serve Between Services
- Come out about 5 minutes before the service ends
Milk and Sugar Table
- Refill the milk pitchers as needed (in fridge; powdered in kitchen cabinet)
- Remove trash on paper plates
- Replace sugar, sugar substitute, napkins as needed
Regular Coffee Table
- Fill the 3 black coffee decanters with coffee, pour 15 cups to have ready for the first wave. (plugged in at the end of the kitchen island near the dishwasher)
- When coffee urn is empty, replace it with the full one (instant caf and decaf in kitchen cabinet if you run out)
- Put empty urns on stainless steel counter over trash
- Keep refilling coffee decanters as needed
- Replace hot cups as needed
Juice Cart
- Refill the juice pitchers as needed (use any leftover juice in fridge or make more powdered)
Replace cold cups as needed
Pass Through Window for Hot Water and Decaf
- Remove trash on paper plates
Clean Up and Put Things Away
- Begin cleaning up around 12:35 PM
- Unplug all urns and put them on the stainless steel counter in kitchen above trash
- Dump grounds out into trash, wipe basket out with paper towel and rinse basket (urns get washed by Sexton)
- Pour out remaining coffee and hot water into sink (kitchen cabinet under microwave)
- Wash the 3 black insulated coffee decanters and put away (kitchen cabinet above window)
- Wash the 3 trays that were under the urns and put away (kitchen cabinet above window)
- Wash the milk pitchers and put away
- Wash juice pitchers and put away (kitchen cabinet above microwave)
- Put away all hot and cold cups
- Put away sugar, sugar substitute, stirrers and napkins (kitchen cabinet under microwave)
- Put away tea and hot chocolate (kitchen cabinet under microwave)
- Put away signs (kitchen cabinet under microwave)
- Sponge tablecloths and put away
- Sponge 2 rolling carts and put away (in kitchen under counter to left of door to lounge)
- Lock the storage room cabinet
